We plan friend trips, family reunions, multi-generational vacations, destination celebrations, golf trips, pickleball groups, hobby getaways, and other group travel where the moving parts need more structure. Some groups are small and straightforward. Others involve multiple rooms, different budgets, deposits, activities, and plenty of opinions. We help make the planning feel more manageable before the group chat takes over completely.
How does group travel planning work?
We start with a consultation to understand the type of group, estimated headcount, destination ideas, timing, budget range, room needs, and what already feels complicated. From there, we help narrow the options, explain the tradeoffs, and organize the planning pieces so the trip has a clearer path forward.
Do you help with rooming, deposits, and group logistics?
Yes, depending on the group structure and supplier requirements. We can help coordinate room blocks, deposit timelines, rooming needs, supplier communication, and key planning details. The exact support depends on the size, destination, travel style, and whether the group is booked under a contracted group agreement or individual reservations.
Do you collect individual payments from everyone in the group?
In many cases, travelers pay the supplier directly through the booking process or approved payment links. For contracted groups, payment structure depends on the supplier, group agreement, and trip setup. We will explain the payment process clearly before anything is booked so the group organizer is not left guessing.
When should we start planning a group trip?
Earlier than you think. Group trips need more lead time because availability, room types, pricing, deposits, flights, and traveler decisions all move at different speeds. For most groups, starting 9–12 months in advance is ideal. For larger groups, holiday travel, destination celebrations, or popular resorts, 12–18 months is even better.
What are your group planning fees?
Group planning fees are based on the size and complexity of the trip. Standard group planning begins at $500 for more straightforward group trips. Special event, celebration, or more complex group planning begins at $750 and may increase based on traveler count, destination, rooming needs, contracted group requirements, activities, private events, logistics, and support needed.
The planning fee is separate from the cost of travel and is not applied toward resort costs, airfare, insurance, excursions, supplier deposits, or other trip expenses.
